Creating, editing, and deleting distribution groups

Distribution group management is available to system administrators, the workspace administrator, and workspace privileged users.

To view only the distribution groups for a specific user:

  1. In the Settings view, expand the name of the workspace in which you want to view a user's distribution groups and click Distribution groups. A page listing the existing distribution groups appears.
  2. In Show only groups owned by, type the name of a system user or click Find to search for a user name.
  3. Click Show groups. The page listing the distribution groups owned by the selected user appears.

To create a new distribution group:

  1. In the Settings view, expand the name of the workspace in which you want to create the distribution group and click Distribution groups. A page listing the existing distribution groups appears.

Note    Existing groups with an asterisk (*) before the name are access groups.

  1. To create a new group without default properties, click New group. A page showing the available distribution group options appears.

OR

  1. To create a new group using an existing group as a template, on the Actions menu of the group that you want to copy, click Copy group. A page showing the available distribution group options with properties copied from the selected group appears.
  2. Click options or type values using the descriptions in the following table.
Distribution group options
Option Description

Group name

Type a name for the new group as you want it to appear to users. When an existing group is copied, this property is copied from the source group and the text (Copy) appended. This property may only be edited by the owner of the group.

Group owner

By default, your name. Type the name of a system user or click Find to search for a user name. When an existing group is copied, this property is copied from the source group.

Description

Type a description of the new group.

Add members to new group

Select members from the Users and Groups lists. To select multiple members, press and hold the Ctrl key while clicking user or group names. Only available when creating a new distribution group. When an existing group is copied, this property is copied from the source group.

  1. Click Create group or click Copy group. The page of existing distribution groups reappears with the new group added.

To edit an existing distribution group's properties:

Note    Editing an distribution group's members is performed separately as described in Adding and removing distribution group members.

  1. In the Settings view, expand the name of the workspace in which the distribution group exists that you want to edit and click Distribution groups. A page listing the existing distribution groups appears.
  2. On the Actions menu of the group that you want to edit, click Edit properties. A page showing the current distribution group properties appears.
  3. Select or type options using the descriptions in the preceding table.
  1. To change Group type:
  1. Next to Group type, click Change. A page appears listing the available group type options.
  2. Click options or type values using the descriptions in the following table.
Group type options
Option Description

Access group/distribution group

Makes the group both and access group and a distribution group.

Access group

Makes the group an access group only.

Note Distribution groups are only available to the owner of the group, if Private visibility is used. Members-only gives the visibility of the group for all users belonging to the group and Public gives visibility to all users in the workspace.

  1. Select a new option and then click Confirm change.
  1. To change Group visibility:
  1. Next to Group type, click Change. A page appears listing the available visibility options.
  2. Click options or type values using the descriptions in the following table.
Group visibility options
Option Description

Private

Only available to the owner of the group.

Members-only

Available to all members of the group.

Public

Available to all users of the workspace.

  1. Select a new option and then click Confirm change.
  1. Click Save group. The page listing the existing distribution groups reappears.

To delete a distribution group:

  1. In the Settings view, expand the name of the workspace from which you want to delete the distribution group and click Distribution groups. A page listing the existing distribution groups appears.
  2. On the Actions menu of the group that you want to delete, click Delete group. A confirmation page appears.
  3. Click Yes, delete group. The page listing the existing distribution groups reappears with the selected group removed.
